Data Protection

The new General Data Protection Regulations came into force on 25 May 2018. You can access the Company’s privacy notice here. This explains the steps the Company takes to protect your personal data. Equiniti, on behalf of the Company, holds certain data relating to your shareholding and acts as data processor. As the data controller, the Company has taken steps to satisfy itself that Equiniti has in place the appropriate policies and procedures to comply with GDPR.

It is a legal requirement that your name, address and the number of shares you hold appear on the Register of Members. Equiniti holds your data to enable it to maintain the Register of Members, undertake activities relating to shareholdings, for example, advising you of annual general meetings and communicating with you in the way you prefer.

Equiniti safeguards your personal data across all its computer systems, networks, websites and offices through appropriate procedures and technical security measures (including strict encryption, anonymisation and archiving techniques). Equiniti’s Information Security policies are aligned to ISO27001, the internationally recognised security standard.

In order to provide an efficient service, Equiniti undertakes some of its data processing outside the EEA or EU – this includes India and the USA. For data transfers outside the EEA and the EU, Equiniti uses Model Clauses recognised by the European Commission. Wherever data processing takes place, Equiniti will always have in place appropriate controls to ensure your data stays protected.

Any personal data that Equiniti holds for you will only be collected when your name is entered on the Register of Members and from any subsequent contact you have with Equiniti.

To comply with legislation, Equiniti will retain your personal data for the duration of your entry on the Register of Members and for a period of up to 12 years following your last entry on the Register. Equiniti can keep your data for longer than 12 years if it is unable to delete it for legal, regulatory or technical reasons.

The information you provide to Equiniti or that Equiniti collects through your use of its services, may contain another person’s personal data, for example, if you purchase shares jointly with someone else or are acting as an agent on behalf of a shareholder. If you provide Equiniti with information about another person, you confirm that they have appointed you to act for them, they consent to your providing their personal data to Equiniti and any processing of that data and that you have informed them of the purpose for which their personal data will be used.

It is important that the information Equiniti holds about you remains accurate and up to date. Please help Equiniti by reviewing the information held about you regularly and advising Equiniti as soon as anything needs updating or correcting.
